Privacy Policy

This policy explains what information Smart Scope collects, how it's used, and the choices you have. It covers the Smart Scope iOS app, trysmartscope.com, and the features that connect them — including digital forms on the web, EyesOn video, and the AI services you connect with your own keys.
Who we are
Smart Scope is built by Smart Scope Inc., the makers of Smart Service, located at 495 Metro Place South, Dublin, Ohio 43017. When this policy says "we," "us," or "Smart Scope," that's who it means. Questions about anything here: hello@trysmartscope.com.
The short version
Your business data belongs to you. We don't sell it, we don't pool it, we don't mine it for advertising, and we don't train AI models on it. We use it for exactly one thing: running Smart Scope for you. You can export it at any time, and if you stop paying, it becomes view-only — it does not get deleted.
Information we collect
Account information. When you create an account we collect basics like your name, email address, phone number, and company details — what we need to set up and secure your account.
Your business data. Smart Scope is a container for the information you put into it: customers and their contact details, scopes and estimates, your price book, photos, site walk recordings and measurements, digital forms, activities, notes, and payment records. This data is stored encrypted in your account's cloud storage and is private to your account — it is never shared with, pooled with, or visible to other Smart Scope customers.
Website visitors. Like most websites, trysmartscope.com receives standard technical information when you visit — browser type, pages viewed, and similar log data — and may use cookies to make the site work properly. You can decline or delete cookies in your browser settings.
Diagnostics. The app may collect crash reports and basic performance diagnostics (through services such as Firebase Crashlytics) so we can find and fix problems. These are technical reports about the app's behavior, not the contents of your business data.
Your AI keys — Claude and OpenAI
Smart Scope's AI features run on API keys that you own. You connect your own Anthropic (Claude) API key — and optionally an OpenAI key for photo generation — inside the app.
When you use an AI feature, the relevant content (for example, a voice note being turned into an estimate, or a photo being analyzed) is sent to that AI provider under your account and their terms, to generate your result. We don't use your prompts or results to train models, and your AI usage is billed by the provider directly to you. Anthropic's handling of API data is governed by its own commercial terms, which do not permit training on your API data; OpenAI's API terms are similar. You can review their policies at anthropic.com and openai.com, and you can disconnect your keys at any time.
EyesOn video and audio
EyesOn creates live video and audio sessions between people on your team — a tech in the field and the office, for example. Sessions can be recorded, and recordings are saved to the job record in your account, where they stay under your control like any other business data.
Because EyesOn can record conversations and job sites, you and your team are responsible for using it lawfully: telling participants a visit is being recorded, getting consent where your state requires it, and respecting your customers' property and privacy. Recording-consent laws vary by state, so if you're unsure, ask a local attorney.
Digital forms and your customers' information
When you send a digital form to a customer or publish a lead intake form on the web, the information your customer submits — their name, contact details, answers, and attachments — goes into your Smart Scope account. That information is your customer data: we store and process it only to run the service for you, and what you do with it is up to you. If one of your customers wants their information corrected or removed, that request belongs with you, and the app gives you the tools to honor it.
Integrations you connect
Smart Scope can connect to Smart Service Cloud, Quo, your device calendar, and custom webhooks. No integration is active until you connect it, and each one moves data only at your direction — for example, syncing a finished scope to Smart Service. Disconnecting an integration stops the flow.
Where an integration uses Google services, Smart Scope's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How we use information
We use the information described above to provide and operate Smart Scope, secure accounts, fix problems, respond when you contact us, send service communications (like trial and account notices), and improve the product. That's the list.
How we share information
We do not sell your information, and we do not share your business data for advertising — with anyone. Information is shared only in these situations: with service providers that help us run Smart Scope (such as cloud hosting and crash reporting), who may process it only on our instructions; with AI providers, only when you use an AI feature through your own connected key as described above; with integration partners, only when you connect them and only as you direct; if required by law, such as a valid subpoena; or in a business transfer, like a merger, where this policy would continue to apply to your data.
Your data is yours
You can export your data at any time, directly from the app — customers, estimates, activities, and records. If your trial ends or you cancel your subscription, your account becomes view-only: nothing is deleted, you can still see and export everything, and if you subscribe later it all reactivates. If you want your account and data permanently deleted instead, email hello@trysmartscope.com from your account email and we'll delete it and confirm.
Security
Your data is encrypted in transit and at rest, access to production systems is restricted, and each account's data is isolated to that account. No system is perfectly secure, but if we ever learn of a breach affecting your information, we will notify you as the law requires.
Your privacy rights
Depending on where you live, you may have legal rights to access, correct, delete, or receive a copy of your personal information, including under state privacy laws such as the California Consumer Privacy Act. To exercise any of these rights, email hello@trysmartscope.com — we honor these requests for everyone, not just where the law requires it, and we will never treat you differently for making one.
Children
Smart Scope is a business tool for adults. It isn't directed to anyone under 18, and we don't knowingly collect information from children.
Changes to this policy
If we change this policy, we'll update the date at the top and, for meaningful changes, tell you in the app or by email. We won't quietly reduce your rights.
